STILL APPLYING. STILL HEARING NOTHING?BUILD YOUR RESUME
FAQ
You may have the right experience for a job and still submit a resume that is difficult for application software to interpret. Important information can appear in the wrong order, dates can become disconnected from positions, and essential skills can be hidden inside design elements.
An ATS resume audit helps you identify these problems before you apply. It evaluates whether the document has a clear structure, whether key information can be extracted, and whether your content uses accurate language that connects your experience with the target job.
This guide explains how to check resume parsing, which formatting choices deserve attention, and how to create a stronger application. For a complete review, start your NewCV Premium Resume Audit and receive feedback on ATS compatibility, recruiter readability, positioning, content, and practical improvements.
An applicant tracking system helps an employer collect, organize, search, review, and manage applications. Organizations use different platforms and processes, and employers can configure systems according to their own hiring needs.
The system may extract information such as your name, contact details, employers, job titles, dates, education, and skills. Recruiters may then review applications, search for relevant qualifications, apply workflow rules, or compare candidates.
ATS does not describe one universal algorithm that decides every hiring outcome. A public resume checker cannot reproduce the exact settings and decisions used by every employer. That is why no honest template, score, or service can guarantee that a resume will pass every system.
Your goal is to remove avoidable barriers and present accurate, relevant information in a clear structure.
Resume parsing is the process of extracting information from your document and placing it into recognizable fields. A parser may identify sections, names, job titles, companies, employment dates, education, certifications, and skills.
When parsing works well, the information appears in the expected category and follows a logical order. When it fails, a title may be separated from its employer, a date may be assigned to the wrong role, or text inside a graphic may not appear as expected.
Parsing quality can depend on the document format, layout, labels, reading order, and the capabilities of the specific software. The same resume may not produce an identical result in every system.
An ATS resume audit looks for design and content choices that may make extraction less reliable.
Incorrectly extracted information can make your application more difficult to review. A recruiter may see incomplete fields, search results may not reflect your qualifications, or you may need to correct information manually during the application process.
Clear parsing also supports a better candidate experience. When an application form fills correctly from an uploaded resume, you spend less time repairing dates, titles, and employer details.
However, successful parsing does not guarantee selection. The employer still evaluates your qualifications, experience, relevance, and competition. A perfectly parsed resume with vague duties may be less persuasive than a well written document with strong evidence.
Treat parsing as a necessary technical foundation, not the complete hiring strategy.
Always audit the exact file you plan to submit. A resume can look correct in an editor and change after export. Fonts may be substituted, spacing may move, links may break, and page elements may shift.
Open the final file on another device or application if possible. Review every page and confirm that no text is cut off. Test professional links and make sure page breaks have not separated headings from their content.
Check the file name. Use a clear professional name that identifies you and the document, such as Firstname Lastname Resume. Avoid vague names such as final version new or resume updated latest.
Follow the employer's file instructions exactly. If a specific format is requested, use it.
Your name, email address, phone number, location, and relevant professional links should be easy to find and copy. Keep essential contact information in the main document area rather than relying only on a header, footer, image, or icon.
Icons can support visual design, but they should not replace meaningful text. A phone symbol without a clearly written number provides no value if the graphic is missed.
Verify every character. An incorrect email address or phone number prevents an employer from contacting you even when the rest of the resume is excellent.
For most United States applications, a city and state can be sufficient. Do not include sensitive identifiers or unnecessary personal details.
Creative section names may sound distinctive, but they can make the document harder to interpret. Familiar labels tell software and recruiters what type of information follows.
Common headings include Professional Summary, Professional Experience, Skills, Education, Certifications, Projects, and Languages. Select only the sections that support your background and target role.
Avoid replacing Professional Experience with expressions such as My Journey or Where I Made an Impact. Creativity belongs in the quality of your content, not in labels that create uncertainty.
Apply the same heading style consistently. Make sure a heading is visually distinct from the content beneath it without becoming decorative or difficult to read.
A person can look across a page and infer how columns relate to each other. Software may follow a different reading order. Complex layouts can cause information from separate columns to become mixed.
Review whether the document makes sense when read from left to right and top to bottom. Pay special attention to sidebars, multiple columns, floating text boxes, and information aligned across the page.
A simple structure is not the only possible choice, but essential information should remain understandable when extracted as text. If dates, titles, employers, or achievements become separated, simplify the layout.
You can explore ATS focused NewCV resume templates when your current design makes the reading order uncertain.
Tables and columns can organize content visually, but results may vary across systems. The risk increases when a layout uses several nested elements or places critical details inside small separate containers.
Inspect every table, column, and text box. Ask whether the information would still make sense if formatting disappeared. Employer, title, location, and dates should remain clearly connected.
Do not use a table simply to create alignment that could be achieved with a cleaner structure. Avoid placing the entire resume inside a complex grid.
When a design element adds no meaningful clarity, removing it is often the safer choice.
Text contained only inside an image may not be available in the same way as normal document text. This includes logos, screenshots, charts, infographics, and decorative skill graphics.
Do not use an image to present your name, contact details, job titles, employers, dates, certifications, or essential skills. If a visual element supports your profession, make sure the underlying information also appears as readable text.
A photograph is generally not expected on a standard United States resume, although international conventions vary. Never allow an image to consume space needed for relevant professional evidence.
Every position should present the employer name, job title, location when useful, and dates in a consistent pattern. Inconsistent placement can make work history harder to interpret.
If you held several roles with one employer, group them in a way that makes progression clear. If you worked through an agency or consulting business, label the relationship accurately. If an official title is unusual, you can add a short recognizable clarification without changing the truth.
Use one date format throughout the document. Avoid placing dates far away from the position they describe. Make sure no design element creates an ambiguous connection between roles and timeframes.
A simple plain text test can reveal obvious reading order problems. Copy the content from your final resume and paste it into a plain text editor. Then review the result from beginning to end.
Check whether headings remain recognizable, positions stay in the correct order, and dates remain connected to the right employer and title. Look for missing characters, strange symbols, repeated content, or words that have become joined together.
This test does not reproduce every applicant tracking system. It is a practical way to identify clear extraction problems before submission.
If the text becomes confusing, revise the structure and repeat the test.
Parsing determines whether information can be extracted. Keyword relevance helps an employer connect that information to the vacancy.
Read the job description and identify essential skills, tools, certifications, responsibilities, industries, and job titles. Compare those terms with your resume. If you have the qualification but use very different language, add recognizable terminology naturally.
Important keywords should appear in context. A skill listed once without evidence is less persuasive than a skill connected to a real achievement or responsibility.
Never add qualifications you do not possess. Avoid copying the vacancy or repeating phrases unnaturally. Accurate relevance is the objective.
For a specific opening, match your resume to the job with NewCV and identify where your real experience can align more clearly with the employer's needs.
Public resume tools often provide an ATS score or match percentage. These numbers can help you notice potential issues, but they are not universal employer scores.
Different tools use different rules, keyword methods, and weighting. The same resume may receive different results from different checkers. An employer may also use a different system and a different review process.
Do not make a change only to gain points. Ask whether the recommendation improves accuracy, relevance, readability, or structure. Adding a keyword may raise a score but weaken trust if the skill is unsupported.
Use scores as signals, not guarantees.
Technical optimization should never make the document unpleasant to read. Recruiters need to understand your professional identity, experience, achievements, and fit quickly.
Review the first page as if you have never seen it before. Can you identify the target role, level, recent experience, strongest skills, and important results? Are paragraphs concise? Is the hierarchy clear? Does the document contain natural language instead of repeated keyword phrases?
Ask another person to review the resume briefly and describe what they remember. If their answer differs from your intended message, improve the positioning.
A resume that parses correctly but fails to communicate value is not finished.
Applicant tracking systems may help employers find terms, but recruiters evaluate what you actually accomplished. A complete ATS resume audit must therefore review content quality as well as parsing.
Replace routine task lists with credible contributions. Add scope or results where available. This may include revenue, cost, time, customer volume, project size, quality, growth, retention, risk reduction, delivery, or efficiency.
Do not invent numbers. When precise metrics are unavailable, provide truthful context such as team size, operational complexity, geographic reach, or the importance of the initiative.
Strong evidence gives relevant keywords meaning.
Always follow the employer's instructions. A job posting or application portal may request a particular format. Ignoring that request creates an unnecessary risk.
PDF files often preserve visual design, while editable document formats may be preferred in some processes. The best choice is the one the employer requests and the one that preserves readable content.
Open the final file after saving. Confirm that fonts, spacing, links, symbols, page breaks, and alignment remain correct. Avoid uploading a file directly from an editing session without inspecting the exported version.
When an employer's application allows resume upload and then fills form fields, review every field before submission. This provides useful evidence about how your information was interpreted in that particular process.
Check your name, contact information, employer names, job titles, dates, education, and skills. Correct errors manually when the form permits it. Do not assume the uploaded file is wrong solely because one field needs adjustment, but look for patterns.
If several roles or dates are consistently misread, revise the resume structure before using it for more applications.
Never submit an application without reviewing the information the employer will receive.
Candidates sometimes focus so heavily on ATS advice that they weaken the resume in other ways.
Common mistakes include:
The best optimization protects truth, clarity, relevance, and evidence.
Use this checklist before submitting an important application.
A professional audit can be useful when you have applied to many realistic roles without receiving interviews, when complex formatting creates uncertainty, or when public checkers provide conflicting advice.
It can also help career changers, senior professionals, international candidates, and people with complex work histories. These resumes require judgment about positioning and relevance, not only a technical score.
A complete review should explain which problems matter most and how to improve them. You can compare NewCV plans with Complete Resume Audit access to choose an option that fits your application needs.
An effective resume must make information accessible without reducing your career to keywords. Clear section headings, logical reading order, consistent dates, readable formatting, and accurate terminology support ATS compatibility. Strong achievements, focused positioning, and natural language support recruiter interest.
Do not optimize for a score at the expense of credibility. Do not assume a visually attractive file will be easy to process. Test the final document, review the extracted text, follow employer instructions, and inspect every application field.
